We are already into the 4th month of 2013. Where has the time gone? It just doesn't stand still for anyone or anything. It seems the more stressed we become the more time seems to fly by and the less we get done. We need to grab hold of those reigns, pull them up, take a deep breath, and say "right, let's get it all under control."
This is easier said than done, unless, you get into the habit of managing your time more effectively. The only way to do that is if you have a plan and put it into action.
Try these simple steps to help you get started:
This is easier said than done, unless, you get into the habit of managing your time more effectively. The only way to do that is if you have a plan and put it into action.
Try these simple steps to help you get started:
1. Prepare a daily plan or "to do list" - try doing it the night before. This gives you an overall view of what is in store for you for the next day and you can minimise conflicts and last minute "running around" before they arise.
2. Prioritise your tasks, this will ensure you spend most of your time and energy on the important ones. Use the ABC system, A = high priority, B = medium priority and C = low priority. Place next to each task in a different colour so you can see at a glance where you are.
3. Put a time limit on each task. You can't always schedule the exact time to deal with all your tasks, but having an idea helps you to plan for other activities.
4. Use a calendar or diary for deadlines. Don't forget to put a reminder a day or two before the due date.
5. Learn to delegate. This is not always easy, we always believe we are the only ones that can do it right, but there comes a time when you just have to let go and trust that others are equally capable.
6. Focus - try to focus on 1 task at a time. Too much multi-tasking can result in getting very little done.
7. Block out distractions. Turn off your phone, log out of your email. Messages can be returned when your task is complete. It is a good idea to set times on your To Do List to check emails and phone messages.
8. Break large, time consuming tasks into smaller, more manageable ones. If necessary use a project management template to help you.
9. Learn to say "NO". This can be very difficult for some of us, but you sometimes just have to be a bit tough, and yes, maybe a little selfish but it's necessary if you want to accomplish more.
10. VERY IMPORTANT - plan for family and fun time.
There is a lot more to Time Management than these few steps, but if this helps to get you started and into the habit of planning your time, you will be well on the road to getting more done.
This is your "ADMIN ANGEL" signing off till next time.
Have a fantastic week ahead.
